The TSI Healthcare 2017 Rheumatology Release introduces several new setup options which will allow TSI Healthcare to configure settings unique to your practice. Each client is required to complete the Setup Form below and submit to TSI Healthcare. Please read the TSI Healthcare 2017 Rheumatology Overview document to familiarize yourself with the changes and consult with your core team as needed before completing the Setup Form.

Applicable Training Videos must be downloaded and viewed by the Client Team Lead and/or designated staff members before proceeding with next steps. Our team will be automatically notified of training completion.
IMPORTANT NOTES ABOUT TRAINING:
The Client Team Lead will be responsible for training any staff members at your practice who do not view recorded training sessions.
It is recommended the Client Team Lead perform testing prior to training end users, as workflow may change during this process.
After viewing the trainings, it is possible that your staff may need additional training on workflows which are specific to your practice. It is the Client Team Lead’s responsibility to identify these training needs and perform these training’s in-house. If TSI Healthcare assistance is needed, this will be a billable service.

Step 3: Test Environment Upgrade
The next step in the process is to update your Test Environment (NGTest) with a fresh copy of your Production Environment and install the TSI Healthcare 2017 Rheumatology Release. If you are not currently on KBM 8.3.8 or above, TSI Healthcare will also update your Test Environment with KBM 8.3.8 as part of your Test Environment update (KBM 8.3.8 is a prerequisite for installing the TSI Healthcare 2017 Rheumatology Content).
You will be put into the Test Environment Update Queue upon receipt of the completed TSI Healthcare 2017 Rheumatology Release Setup Form. Access to the Test Environment will be provided upon completion of training during a Setup Call with your assigned TSI Healthcare Update Specialist.
By utilizing your Test Environment, our team will be able to perform a trial run of the TSI Healthcare 2017 Rheumatology installation. This allows us to troubleshoot any issues that may arise during the test update and address them prior to the production update. Most importantly, using the Test Environment will allow your team to test and become familiar with the new Rheumatology content prior to updating your production environment.
Step 4: Client Testing
To ensure a successful update, testing of the TSI Healthcare 2017 Rheumatology Release is REQUIRED. After your practice has completed training and submitted the Setup Form, you will receive a call from your assigned TSI Healthcare Update Specialist within five (5) business days to schedule a setup call. During this call, your TSI Healthcare Update Specialist will review any setup questions and provide you with a copy of the Testing Checklist (also available for download below). Please note, this setup call cannot be completed until after your Test Environment has been updated with a fresh copy of your Production Environment and the TSI Healthcare 2017 Rheumatology Release has been installed, which may require additional coordination with you or internal TSI Healthcare teams due to multiple projects progressing at the same time.
Please utilize the Testing Checklist to verify that the EHR is operating as expected in your Test Environment, all data is intact, and your staff is comfortable with the changes in the new content. Any issues experienced in your Test Environment should be documented on this checklist. Please do NOT submit issues as individual tickets to the TSI Healthcare Helpdesk. This will allow us to address all issues in an efficient manner.

Step 5: Checklist Submission & Review
After performing testing and completing the TSI Healthcare 2017 Rheumatology Release Testing Checklist, please submit your checklist to TSI Healthcare through one of the following methods: email to helpdesk@tsihealthcare.com or fax to 888-808-6156.
After submission, please allow a minimum of ten (10) business days for your assigned TSI Healthcare Update Specialist to contact you to provide an update on your Testing Checklist. Our team will attempt to resolve any documented issues before contacting you but may need to reach out to obtain clarifying information.
Once all questions/issues/requests have been addressed, we ask that you retest all components of your templates and documents, as any changes completed by TSI Healthcare or members of your staff could result in new errors or workflow changes.
Once your Testing Checklist has passed the review process, your assigned TSI Healthcare Update Specialist will work with you to schedule your Production Environment Update.
Step 6: End User Training
It is the responsibility of each client to conduct internal end-user training. All practice staff utilizing EHR must be trained prior to Go-Live. Practices may use the recordings from the “Step 2: Training” tab above.
Step 7: Verification & Go Live Approval
Upon completion of end-user training and the Testing Checklist, our team will assist you with selecting a date for your TSI Healthcare 2017 Rheumatology production update. Dates are based on TSI Healthcare Update Team availability and client preference.
When selecting a date for the TSI Healthcare 2017 Rheumatology Release update, please note:
– Updates must be performed over a weekend.
– All users must remain off the system while the update is taking place.
– Client Team Lead must be available to review the production database and complete post-update tasks (see below).
Once the production update schedule has been agreed upon, the Client Team Lead and TSI Healthcare Update Specialist will establish the production weekend timeline and assign post-update tasks (may include: importing templates and documents, post-update database testing, and updating preferred templates for end users).
The Client Team Lead and TSI Healthcare Update Specialist will also discuss rollback procedures and criteria for rollback. The TSI Healthcare Update Team can “rollback” the update (revert to previous version) if significant errors occur as a result of the production update. However, it should be noted that any new data entered into your NextGen EPM or EHR systems from the time of your update to the time of the rollback will be lost.
To secure the date for your Go-Live, your Client Team Lead will complete the Go-Live Approval Form (provided by your assigned TSI Healthcare Update Specialist) and submit to TSI Healthcare. Once TSI Healthcare has received your signed Go Live Approval Form and verified that all tasks have completed in preparation for Go-Live, you will receive email confirmation that your practice has been approved for the TSI Healthcare 2017 Rheumatology update in production.
Step 8: Production Environment Upgrade
TSI Healthcare will complete all technical aspects associated with the TSI Healthcare 2017 Rheumatology Release content in your Production Environment. The TSI Healthcare Update Team will begin your production update in accordance with the update timeline predetermined by your Client Team Lead and TSI Healthcare Update Specialist. On the evening of the update, all staff members must be logged out of NextGen by the agreed-upon time (typically around 6 PM on Friday). The update may take the full evening to complete and staff should plan to be logged out of NextGen until the Go-Live morning.
You will be notified via email once our team has completed the update in your Production Environment. After the update has been completed, the Client Team Lead and TSI Healthcare Update Specialist will complete post-production tasks.
It is the Client Team Lead responsibility to perform database testing in production before end users have access to the system Go-Live morning. If a rollback is necessary, the Client Team Lead must notify their TSI Healthcare Update Specialist as soon as possible so that rollback procedures may be performed prior to Go-Live morning.
Your TSI Healthcare Update Specialist will touch base with your Client Team Lead the morning of your Go-Live to verify that everything is going well post-update. If you experience any issues on the date of your Go-Live, please call or email the TSI Healthcare helpdesk* (1-800-354-4205 or helpdesk@tsihealthcare.com). Our helpdesk will be notified of your Go-Live date and will ensure that your tickets are triaged accordingly.
